Conference fee

To provide extensive networking opportunities, organisers decided that the conference fee will cover: participation in the conference, lunches, coffee breaks and welcome reception.

We estimate that the early conference fee will be 1600 PLN for students and 1900 PLN for other participants. Kindly, note that there is a dedicated support program to lower the conference fee for students and early career professionals. Details are presented below.

The conference will increase by 600 PLN after 7 May 2024 (early registration deadline), and by an additional 300 PLN after 21 June 2024 (regular registration deadline).

Conference fee support

We are thrilled to announce, in collaboration with the Fritz-Haber-Institute of the Max-Planck-Gesellschaft, the launch of a conference fee support program to support participation of early career professionals and students. This initiative will offer 20 grants, each granting a reduction of 600 PLN in conference fees. The selection process will be conducted in two phases, ensuring a comprehensive evaluation of all applications. The decision to award a grant will be based on the evaluation of the submitted abstract and the information submitted in the application form.

Registration procedure

  1. Fill out the registration form. You can access it by clicking here. The same form in Polish language is available here (you might need this because some organisation requires invoice in Polish)
  2. In the first step you will be asked if the invoice for your participation should be issued for an organization (e.g. university) or for a physical person (e.g James Maxwell). Please note, that it is not possible to change the invoicing data after receving the payment.
  3. You can choose if you want to pay directly with credit card / PayPal or by bank transfer.
  4. If you select PayPal payment, after completing the form you will be directly forward to a PayPal webpage to process the payment.
  5. If you select bank transfer, please send the bank transfer up to 14 calendar days after completing the form. Otherwise your registration will be cancelled. If you need more time, we encourage you to contact us by letting us know by email at Please specify the pro forma number that we generated in the registration system in the title of the bank transfer (you will receive it by email after completing the last steps of the registration).
  6. If you select bank transfer, please note that all bank and transfer fee must be covered by the sender.
  7. After completing the form you will receive a confirmation of submitting the form and confirmation of processing the payment. If you don’t receive it (please check your SPAM folder first), please contact us with details of the process.
  8. Once we receive the payment, you will be notified about it in 2 working days.
  9. Up to 7 working days after receiving the payment, the Candela Foundation will send you an invoice. The invoice will be delivered by email using the address submitted in the registration form.
  10. Kindly note that we require payment of the conference fee before the event. In case of missing payment, you will be asked to settle it during registration by card payment.

How to access the student rates?

  1. Complete the registration form and select bank transfer as a payment method.
  2. Send proof of student status (student ID, certificate from the admin) to Please inform us if you would like to pay by card or by bank transfer.
  3. We will correct the registration, apply the student rate and provide updated pro forma. In the case of card payment, we will provide a link that allows to finalize the registration and pay the conference fee.

Payments – possible options

Payment for the conference fee can be made by:

  • bank transfer
  • debit and credit card (managed by PayU / PayPal)

The conference fee is declared in PLN, but we can also accept bank transfers in EUR and USD. To convert your registration fee, please fill out the registration form by choosing "bank transfer" as payment method, complete the payment and contact us afterward ( Based on the information from the registration, we will issue pro forma invoice in EUR/USD based on the recent exchange rate (published by National Bank of Poland).

For payments procedure initiated after 9 July 2024, in particular for on-site registrations, we will accept only card payments. We cannot accept payment in cash.

Bank Wire Transfer and other related fees should be paid by the registrant (please verify carefully during the wire transfer payment that all costs are charged to you).

Candellations and refunds

Refunds are possible in the full amount for the cancellations requested before 10 May 2024. Refunds are possible in the amount of 50% of the sum paid for the cancellations requested before 9 June 2024. After this date, the refunds are not possible. I need invitation letters for the visa application procedure. Could you issue it?

Yes, we can issue such letters to active participants of the conference. To request such a letter please contact us at with a set of relevant information (names, family names according to passport, address, nationality, and passport number). The letters will be delivered in form of a pdf file with Qualified Electronic Signature (QES) that in equivalent to written form. The letters will be issued for participants who paid the conference fee or abstract of their contribution has been approved for the presentation.
